JOB TITLE:         HIS OFFICER / PROGRAMMER II

Duties and Responsibilities

  • Develop, test, and execute the electronic data enterprise for the study
  • Develop input forms, write and modify code, and generate queries and reports to meet study standards and procedures
  • Develop user friendly interfaces with strict data quality parameters for data entry
  • Maintain and troubleshoot software functionality, ensuring for consistent study data flow
  • Write and execute queries to extract data from OpenMRS/KenyaEMR
  • Prepares flow charts and systems diagrams to illustrate data system and assist in problem analysis and detailed design source documentation
  • Provide support and advice to system administrators when they encounter software issues that require a more advanced software understanding
  • Provide software as needed to transfer and transform data between platform and data stores such as MySQL, SQL, ODK, among others

REQUIREMENTS:

 

  • Bachelor’s degree in Information systems/Computer sciences or equivalent from a recognized University.
  • Minimum of 2 years’ experience in software development and manipulation of large databases
  • Proven practical knowledge and experience with the following programming experience:
  • HTML, CSS, jQuery, SQL, Java, Javascript frameworks (Node.JS, angular or react etc), Python etc.
  • Prior experience with application development AfyaStat, OpenMRS/KenyaEMR,and other open-source systems is an added advantage
  • Demonstrated expertise in software architecture, object-oriented design, design patterns
  • Proven ability to write code, program parameters for data integrity, and extract data from relational databases using SQL
  • Ability to translate user requirement into functional specifications

JOB TITLE:         ASSISTANT DATA MANAGER

JOB SUMMARY

 

 

Assist in supporting Coptic Hope Center to enhance efficiency and effectiveness of data management processes.

 

Duties and Responsibilities

  • Developing queries for data quality checks.
  • Training and offer support to the service providers on how to navigate through KenyaEMR modules.
  • Use of SPSS to analyze and reorganize large datasets for different thematic areas.
  • Use of power BI application for data visualization.
  • Ensuring that the set protocols are followed for quality data collection, data cleaning and safe data storage.
  • Assist in development and updating of data collection tools, coordinating the implementation of the same.
  • Assist in Updating Data Dictionary.
  • Developing SPSS codes for data clean up.
  • Conducting data quality audit.
  • Assist in generating SQL queries used to extract data from the EMR system.
  • S/He will abstract data from EMR and MOH reporting tools and submit as required.
  • Specifically, s/he will assist to develop and implement data quality assurance systems (procedures, tools, SOPs) to prevent, monitor, and resolve data errors for program services areas.

JOB TITLE:            QUALITY OFFICER

Job objectives

To ensure that Quality Management System is kept up to date, that it remains suitable and it is regularly evaluated and monitored. To ensure all Coptic Hospital laboratory activities are in compliance with its own Quality Management System, ISO 15189 standard and regulations from accrediting bodies.

Duties and Responsibilities

  • Ensure that all processes of the Quality Management System are established, implemented and maintained.
  • Promote awareness of users’ needs and requirements throughout Coptic Hospital laboratory
  • Coordinate annual reviews of all documents of the Quality Management System to ensure continued suitability.
  • Guide and coordinate document control processes for Coptic Hospital laboratory. Provide direction on proper identification, filing, retrieval, and archiving of documents in accordance with records control procedure.
  • To head, coordinate the development and maintenance of the laboratories’ Quality plan. Regularly review, revise, and ensure compliance with quality management systems.
  • Collaborates with the Laboratory manager in corresponding with accrediting bodies.
  • Ensure that accreditation standards are upheld in the laboratory.
  • To inform accrediting body of major changes in the laboratory that might affect accreditation status.
  • Ensure that patient results are released only by authorised competent personnel.
  • To plan and coordinate scheduled internal audits of all the laboratory processes.
  • Coordinate staff training on Quality Management System.
  • Assist heads of sections in evaluating quality control data to determine trends and carry out corrective actions on the undesirable ones.
  • Report audit results and trends to other members of the laboratory management team.
  • Assist in the development of corrective actions plans to address any non-conformances identified through internal audits, customer complaints or accidents or incidents investigation.
  • Collaborating and advising heads of sections, the laboratory manager and the head of the laboratory to plan the validation process for new procedures and equipment.
  • Provide advice on the evaluation and selection of suppliers of reagents and consumables.
  • Provide advice on the evaluation and selection of suppliers of referral/back-up laboratories.
  • Provide advice to users of the laboratory on: Choices of tests; sample requirements; use of request form; sample transportation; interpretation of results and use of the Laboratory Information System.
  • Undertake any other duty as may be required of a Nominated Representative for the accrediting body.

REQUIREMENTS

 

  • Degree or advanced Diploma in Medical Laboratory Sciences with specialization in one of the disciplines plus five years post qualifying experience.
  • Training on ISO 15189 internal auditing.
  • In-depth knowledge of accreditation requirements
  • Computer Literacy (Microsoft Office packages)
  • Demonstrated managerial ability.
  • Registration with the KMLTTB
  • Previous experience in quality assurance will be an added advantage.

 

JOB TITLE:          GRANTS MANAGEMENT OFFICER

REPORTS TO:      FINANCIAL CONTROLLER

JOB LOCATION: NAIROBI

 

JOB SUMMARY

The Accountant will be responsible for key financial, budgetary and internal control analysis in the Coptic Hope Center including:

As part of a team in the Project planning function, the Accountant prepares financial budget plans from the unit level to a consolidated level.  The Accountant may be assigned to various departments to work with their respective heads in developing and implementing their respective budgets.  He/She will maintain historical cost vs budget data to ensure that forthcoming budgets remain representative of the departmental needs, as well as consolidate budget plans of various operating units into corporate budgets.

The Accountant will also be responsible for implementing the accounting software for the Center and producing regular financial reports to the management.

Duties and Responsibilities

  • Prepare and present operating and expense budgets for management approval.
  • Identify and analyze new departmental budget items for justification by originating office.
  • Ensure that budgeting procedures and guidelines are complied with.
  • Provide regular budget reports to include forecasted budget, trend analyses and actuals versus budget trending.
  • Assist the department head in justifying variances between actual and budget.
  • Develop budget models to assist departments in their financial planning.
  • Coordinate in processing actuals versus budget performance reports.
  • Additionally, the Accountant will support the financial controller with individual grant/project budget management specific responsibilities include:
  • Implementing centralized financial management and budget control procedures
  • Ensuring department heads are spending funds from grant budget appropriately
  • Providing budgetary control to include initiating and directing the preparation of budget revisions, preparing annual budget close documents and maintaining documentations for budget controls.
  • In the event of an audit, the accountant will work with the financial controller, Program director and the respective departmental heads representatives to provide all required documentation and resolve potential issues.
  • Analyze, modify and recommend improvements in subsidiary and general fiscal record keeping systems; apply knowledge of accounts and program relationships, data flow audit trails and internal control to design and implement financial data systems.
  • Maintain and/or modify manual or automated fiscal reporting /tracking processes to address specific unit needs.
  • Prepare the necessary budgetary activity reports, budget spreadsheets and assist in compiling quarterly and annual financial progress reports.
  • Prepare the necessary, departmental, and overall budgets, budget justifications, and combine all clinical and subcontractor budgetary records into a single report for continuation and Interim reports

  • Bachelor Degree in business commerce with a major Finance/accounts with additional professional qualification (CPAK)
  • A related budgeting or accounting experience in a similar organization is an added advantage
  • Excellent computer skills in Excel spreadsheets, Access database, Word processing and MS Office.
  • At least 3 years of finance and accounting experience in a similar post in the NGO sector with adequate exposure to project accounting, financial management including budgeting, grants and contracts (PEPFAR/CDC-Kenya grants)
  • Understanding of finance records reconciliations.
  • Must have demonstrable hands-on experience with an accounting system. Experience (Navision)

JOB SUMMARY

 Assist in supporting Coptic Hope Center to enhance use of Data for evidence-based decision making.

 

DUTIES & ESSENTIAL JOB FUNCTIONS

  • Ensure that all facility registers are filled out adequately
  • Correctly collect data from the registers for reporting purposes
  • Conducting regular trainings on data capture tools
  • Assist the CQI manager in implementation & monitoring of the QI projects
  • Ensure timely facility reporting on MOH731, 3PM and other adhoc reports
  • Assisting in development of new tools and revision of existing ones
  • Ensure concordance between the various reports
  • Monitoring of various program interventions and giving feedback to the program heads
  • Assist the M&E manager in preparing quarterly CDC slides
  • Add additional indicators in power BI dashboard for data visualization.
  • Review the reported monthly reports submitted in 3PM
  • Use of SPSS or any other statistical software to analyze and reorganize large datasets for different thematic areas.

JOB TITLE:        PREVENTION MANAGER

REPORTS TO:   PROGRAM DIRECTOR

JOB SUMMARY

As the prevention manager he/she will provide overall coordination and support in the planning, designing, and implementation of evidence-based HIV prevention programs including HTS, OVC, GBV, PrEP, voluntary medical male circumcision (VMMC)and referral to DREAMS. He/she will maintain oversight of prevention programming and ensure that project objectives related to the targets are met; participate in providing technical guidance, mentoring and capacity building and strengthening HIV prevention focus; lead the prevention team in developing work plans, budgeting, monitoring targets, compiling quarterly, semi-annual and annual reports for the project and participating in events and meetings with donors and other stakeholders.

 

DUTIES & ESSENTIAL JOB FUNCTIONS

  • Provide technical oversight and leadership in planning, design, and implementation of evidence-based HIV-prevention interventions targeting PLHIV, CALHIV, Priority Populations and Men in line with the project’s quality principles, standards and donor guidelines
  • Oversee technical assistance and capacity strengthening activities for the prevention technical team and partner organizations on HIV prevention to enhance program quality and impact.
  • Leading program interventions, such as HTS, SGBV, PrEP, OVC and lead in linkages to DREAMs and other community programs
  • Provide capacity building of the team in the   clinical management of voluntary medical male circumcision
  • Provide capacity building for Clinical management of sGBV, PrEP and ensure OVCs and other vulnerable populations are receiving relevant clinical services
  • Oversee the integration of the project’s HIV Prevention technical approaches for the achievement of successful project implementation using evidence informed, innovative and best practices
  • Provide leadership and strategic direction to ensure programmatic and technical integrity of the project and to achieve rapid and sustained goals, objectives and targets
  • Provide leadership in creating and strengthening systems for linkages and referral networks between facility and community activities ensuring there is seamless implementation of activities leading to improved health outcomes across the project areas.
  • Provide technical leadership and ensure the quality and sustainability of HIV prevention services
  • Closely monitor progress towards project targets, as well as National/ County targets while guiding the analysis, synthesis and reporting of outputs and results in close collaboration with the Monitoring and Evaluation Team
  • Work with M&E team for effective monitoring and evaluation of programs including setting up of monitoring and evaluation systems, tools, reporting structures and data analysis for programming
  • Provide oversight in data quality audits and prepare weekly, monthly, and quarterly reports, and on site review in accordance with donor requirements

 

REPRESENTATION

  • Facilitate the dissemination of promising practices and lessons learned to contribute to the agency knowledge management agenda. Ensure integration of innovations and best practices.
  • Oversee the identification, assessment and strengthening of partnerships relevant to HIV and HSS and the appropriate application of partnership concepts, tools and approaches.
  • Documentation of lessons learnt, best practices, challenges and opportunities for programming
  • Collaboration, networking and communication with other external stakeholders, and support the regional national, county and subcounty TWGs
  • Represent the Program director in Care and treatment meetings with other implementing partners, NASCOP, NACC, donors etc

 

REQUIREMENTS

  • Masters-level education in Development Studies, Social sciences, medical field, public health or any other related field relevant to the above job description.
  • A Bachelor’s degree in Medicine and Surgery (MBChB)
  • Minimum of two years of relevant work experience in HIV prevention, care and treatment filed in Kenya with progressive responsibilities, ideally with PEPFAR funded programs.
  • Demonstrated capacity and experience in capacity building and staff mentorship
  • Experience with program monitoring and evaluation and analysis.
  • Proficient in MS Office packages (Excel, Word, PowerPoint), Web Conferencing Applications, information and budget management systems, knowledge-sharing networks.

JOB TITLE:        STATISTICIAN

JOB SUMMARY

The statistician is responsible for statistical tasks of assigned projects. Under general direction of the senior Data manager, the statistician participates in planning, designing and implementation of Coptic projects, as well as analysis and interpretation of statistical data. He/she provides advice on implications of results for program planning and decision-making.

 

Duties and Responsibilities:

 

  • Develop and implement program tracking databases in support of program evaluation activities
  • Organize and direct the study design, data collection, processing, analysis and publication of statistical data on various subject matter relevant to the Coptic program
  • Support investigators to operationalize program goals, refine statistical hypotheses and develop statistical analysis plans
  • Merge data across databases and check for data inconsistencies and outliers using SPSS, STATA, R or SAS,
  • Clean and edit data for analysis
  • Generate data reports on program activities, both routine and as requested
  • Document methodologies and procedures used in the compilation and analysis of data, as well as data sources and limitations of estimates and guidelines for their use.
  • Apply statistical techniques and methods in the processing and analysis of data
  • Provide advice on the statistical interpretation and implications of results for program planning and decision making
  • Prepare tables, figures, results and statistical methods narratives for abstracts and publications
  • Supporting protocol development in relation to sample size calculations and sampling design.
    • Participate in planning, designing and implementation of surveillance or monitoring and evaluation projects.
    • Provide support in the development of training materials for biostatistics, data analysis and utilization of statistical software for analysis.
    • Assist in manuscript preparation.
    • Participate in provision of training to MOH and its partners in biostatistics, data analysis, utilization of software and interpretation of analysis.
    • Support survey data management procedures from data collection, transmission, cleaning to regular provision of data accrual and quality feedback to investigators and field staff.

 

Key Requirements

  • Strong academic qualifications in Biostatistics/Statistics or Mathematics as evidenced by possession of a Bachelor's Degree from a recognized University
  • At least 3 years’ experience in statistical work at the professional level
  • Advance level knowledge of statistical software: R, SAS and/or STATA data management is required
  • In-depth, comprehensive, and evolving knowledge of statistical and mathematical analysis techniques integrated with computer applications
  • Fluency in English

JOB TITLE: Retention Supervisor/ Senior Officer

JOB SUMMARY

 

Supervise Retention team and Community Health Volunteers (CHVs) on community and facility activities in line with the national guidelines and Hope Center policies.

Duties and Responsibilities

  • Support retention teams in the supported sites and help them develop strategies and adherence support mechanisms
  • Support facilities to support continuous quality improvement projects for continuity of care, patient retention, and adherence support.
  • Capacity build the case managers to implement case management with fidelity
  • Ensure an accurate and up to date record of those who interrupted treatment and missed appointments are maintained in the Kenya EMR
  • Supervise and mentor facility retention officers, peer educators, mentor mothers on strategies on continuity of care
  • Support sites to come up with strategies to reduce missed appointments to less than 2%
  • Ensure all facilities are implementing community-based adherence groups
  • Support sites to implement age, sex and population specific support groups
  • Work with CHVs and ensure all sites implement the community health strategy
  • Participate in performance monitoring of the retention team
  • Oversee implementation of USHAURI and NISHAURI service
  • Community mapping, identification of areas that need HIV Testing services and seek approval for the activity in collaboration with HTS team
  • Liaise with Sub County Community health volunteer’s coordinator for easy access to the community as required

 

Qualifications and Required Skills:

 

  • Bachelor’s Degree in Psychological counselling, Social sciences
  • Training in Adherence Counselling
  • Three (3) years’ experience in HIV patient retention at facility level
  • Excellent interpersonal communication.
  • Good report writing skills
